Supervision and Safety

  • Parents/Carers should remain on the premises at all times.

  • All children must be accompanied by a responsible adult at all times. Senplay does not accept responsibility for the supervision of children.

  • Parents/Carers are responsible for the behaviour and well-being of the child in their care at all times while in the Centre and must maintain supervision.

  • You must monitor your child to ensure they can use the equipment safely.

  • You must know where your child is at all times and ensure that your child can locate you.

  • Parents/Carers know their child’s capabilities best and must ensure an appropriate level of supervision. For the safety of other children, the Senplay Team reserves the right to remove unruly children from the centre.

  • You are responsible for your belongings. Please keep them with you at all times. Senplay cannot be be held responsible for loss of theft.

Senplay No Filming Policy

At Senplay, we are committed to ensuring the safety, privacy, and well-being of all children, families, and staff in our      centre. To maintain a safe and respectful environment for everyone, we have a strict policy regarding the use of cameras, mobile phones, and recording devices.

  • No Filming or Photography of Staff or Other Children

  • We kindly ask that you refrain from filming, photographing, or recording any of our staff members or other children at Senplay. This is to respect the privacy and safety of all individuals within the facility.

  • Filming and Photography of Your Own Child

  • You are welcome to take photos or videos of your own child during their play session, provided it does not capture any other children or staff members in the background.

  • Monitoring and Enforcement

  • Our staff reserves the right to request the deletion of any photos or videos that do not comply with this policy. Repeated violations may result in being asked to leave the premises.

  • Special Events

  • During any special events or group activities, we may allow controlled photography with prior consent from parents/guardians. You will be notified in advance if this is the case.

    We appreciate your cooperation in helping to make Senplay a safe, inclusive, and respectful space for everyone. If you have any questions about this policy, please speak to a member of our team.

Health and Hygiene

  • Please remove shoes before entering the play areas.

  • No food, drink, or chewing gum should be taken into the play areas.

  • Families are welcome to bring snacks to be eaten in the designated dining room. For safety reasons, NO FOODS CONTAINING NUTS.

  • It is forbidden to smoke on the premises including e-cigarettes/vaping.

  • Children who are feeling unwell should not enter the centre, especially the play areas.

  • Any visitor (children or adults) who have had vomiting or diarrhea should not enter the centre until at least 48 hours have passed since the last incident.

  • In the interests of Health and Safety, ensure that any food debris is picked/wiped up as soon as possible. Report any spillages to a member of staff.

  • Nappy changing must be conducted in the dedicated changing room, ensuring nappies are placed in the correct bins provided.

Behaviour

  • We appreciate that children with additional needs may use physical behaviour as a way to communicate.

  • Our team is trained to approach all behaviours with empathy and understanding. We ask that on arrival parents and carers communicate any specific needs or strategies that help their child's behaviour.

  • If a child's behaviour is causing an unacceptable level or risk to them or to others, or if the session becomes unsafe for any reason, Senplay will require that they leave the centre.

  • Please report any behavioural concerns to a member of staff. Do not attempt to intervene yourself.

  • Rude, violent, and threatening behaviour will not be tolerated by the Senplay Team, and you will be asked to leave the premises.

Facilities and Usage

  • Each Senplay Session is 1 hour 45 minutes and must be pre-booked online.

  • Please note that our dedicated sensory room is designed to be quiet, for children who struggle with loud noises and too much stimulation. Please respect this by being quiet in this room.

  • All sensory room equipment must remain in the room at all times.

Incidents and Reporting

  • Report ALL accidents to a member of staff to ensure that necessary assistance is provided and to minimise the potential for recurrence. These will be logged as part of Senplay's commitment to safety.

  • All damages to SENPLAY property, whether accidental or deliberate, must be reported to a member of staff.

  • Customers are expected to handle all company equipment with care and follow the proper usage instructions provided.

  • Customers are responsible for reporting any malfunctioning or defective equipment immediately to staff.

  • Any damage or loss of equipment caused by negligence, misuse, or failure to follow instructions will be the responsibility of the customer.

Reporting Equipment Damage

  • If equipment is damaged or broken, the customer must inform staff immediately.

  • A report will be filled out by the staff, documenting the nature of the damage, how it occurred, and the condition of the equipment prior to use.

    Assessment of Damage

  • If damage is deemed to be a result of normal wear and tear, the customer will not be held responsible.

  • If the damage is due to improper use or negligence, the customer will be liable for the repair or replacement cost.

    Liability and Charges

  • Minor Damage: For equipment that can be repaired at a minimal cost, the customer will be charged for the repair expenses.

  • Major Damage or Irreparable Damage: If the equipment is severely damaged or cannot be repaired, the customer will be responsible for the full replacement cost, including any associated fees such as shipping or handling.

  • Loss or Theft: In the case of lost or stolen equipment while under the customer’s care, the customer will be liable for the full replacement value.

    Payment Terms

  • The customer will be provided with an invoice detailing the costs of repair or replacement.

  • Payment must be made within 30 days from the date of the invoice.

  • Failure to make payment within the specified time frame may result in legal action, suspension of services, or denial of future access to the Senplay Centre.

    Exceptions

  • This policy does not apply to equipment damaged due to unforeseeable circumstances, such as natural disasters or defects in the equipment that were not caused by customer negligence.

  • In cases of disputes regarding liability or damage assessment, the company reserves the right to conduct an independent review of the incident.

    Resolution Process

  • Any disputes regarding equipment damage will be addressed through the company’s standard dispute resolution procedures.

  • Customers may appeal decisions by submitting a written request to management within 30 days of receiving the damage assessment.

Booking and Refunds

  • Booked Sessions are non-refundable, but sessions can be rescheduled.

  • Sessions can be rescheduled so long as 48 hours notice is given. We are unable to reschedule sessions after the fact.

  • If for any reason Senplay is unable to open for your session due to factors beyond our control, we will process a full refund or reschedule your session, as you prefer.

  • Each booking must be made for a single individual. Customers are not permitted to book on behalf of multiple people under one booking.

  • Every person attending our services or events must have their own separate booking.

Subscription Rules

To ensure a safe, enjoyable, and fair experience for all our members, we have established the following rules for Senplay subscriptions. Please read through them carefully to understand your rights and responsibilities as a Senplay member.

Subscription Types and Plans

  • SENplay offers various subscription plans, including 4, 6, and 8 sessions per month.

  • Subscriptions are billed monthly, and each plan allows access to a specified number of sessions within the month.

  • Additional sessions beyond the subscribed amount can be booked at the regular pay-as-you-go rate.

Payment and Renewal

  • Subscription fees are charged automatically on the same day each month based on the date of initial signup.

  • Payments must be made via a valid credit or debit card, which will be securely stored for monthly billing.

  • Subscription plans automatically renew each month unless cancelled by the member before the next billing cycle.

Booking and Attendance

  • Sessions must be booked in advance through our online booking system or by contacting Senplay directly.

  • Members are encouraged to book early to ensure availability, especially during peak times.

  • If you are unable to attend a booked session, please notify Senplay at least 24 hours in advance to reschedule. Missed sessions without notice may be forfeited and will not carry over to the following month.

Cancellation and Refunds

  • Subscriptions can be cancelled at any time by notifying Senplay in writing or via email at least 7 days before the next billing date.

  • Refunds are not provided for partial months or unused sessions. However, exceptions may be made for medical reasons or special circumstances at the discretion of Senplay management.

  • In the event of a closure due to unforeseen circumstances (e.g., maintenance or emergencies), efforts will be made to reschedule missed sessions or provide equivalent value.

Changes to Subscription Plans

  • Members can upgrade or downgrade their subscription plans. Any changes will take effect in the next billing cycle.

  • Requests for changes must be made at least 7 days before the billing date.

  • Upgrades will be billed at a prorated amount for the remainder of the current billing cycle if applicable.
